Call Recording Policy

Proline Voice answers your business calls with an AI agent and can record them. This policy explains how that works, for you and for the people who call.

1. What is recorded

When recording is on, Proline Voice keeps the audio of the call, the transcript of the conversation and the summary produced from it.

We also keep data about the call: the caller's number, the date, the time and the length.

2. What it is for

Recording is used to produce the summary you get on Telegram and in the dashboard, to check what was agreed with the customer, to settle questions and to improve the service.

We do not use recordings for advertising and we do not sell them.

3. Telling the caller

At the start of the call, the agent says that the one answering is an AI virtual assistant. You can turn this notice on or off in the agent settings.

With the consent request on, the agent also says the call may be recorded and asks the caller to agree before going on. If the caller declines, the call is not recorded.

4. Your responsibility

The rules about telling people and asking consent to record vary by the state and country of the caller. In some places, everyone on the call must agree.

You are responsible for keeping the notices and the consent request on when the law that applies to you requires it. This text is not legal advice; ask a professional.

5. Who has access

Recordings are kept in private storage, separated by account. Only you and the people you allow in your account can listen to them in the dashboard.

The providers that transcribe and store recordings handle them only to provide the service. See who they are in the Privacy Policy.

6. How long they are kept

Recordings and transcripts are kept while your account is active and for as long as needed to meet legal duties and settle disputes.

When you close your account, we delete or anonymize the recordings, except what the law requires us to keep. The exact period will be stated in the final version of this text.

7. Rights of the caller

A person who was recorded can ask for access to the recording, correction of the transcript or deletion, according to the law that applies. Because your business decides how the call is used, the request should be made to you; we help you answer it.

If a request reaches Proline Voice directly, we will tell you and follow the applicable law.

8. Changes and contact

We may update this policy. When a change is important, we will tell you by email or in the dashboard, and the last updated date at the top of the page shows when the text changed.
